AI Customer Assistant
Software that answers your customers from your own documents, over chat and email, around the clock, and hands you the lead when it is done.
What an AI customer assistant is
An AI customer assistant is a program that answers your customers’ questions the way a well-briefed staff member would: from what your business has already written down. You give it your documents, it reads them, and from then on it answers enquiries 24 hours a day over chat on your website and by email, without a script and without you typing the replies.
It is different from the chatbots of a few years ago. Those followed a decision tree you had to build by hand, and fell over the moment a customer asked something you had not anticipated. An AI customer assistant reads your PDFs, Word files, spreadsheets and web pages, understands a question asked in ordinary language, and writes an answer from the relevant passage. It shows the source it used, so both you and the customer can see where the answer came from.
It is also different from a general-purpose AI. It does not answer from the open internet or make up a policy you do not have. It answers only from the files you approve, and when the answer is not in them it collects the customer’s details so a person can follow up.
From your documents to a live assistant in three steps
Setup takes about two minutes and needs no code. You upload documents or paste your website address, choose your branding, and publish. Behind the scenes the assistant builds a private knowledge base from your files using Google Gemini’s file search, which is the retrieval-augmented generation (RAG) approach: every answer is grounded in a retrieved passage from your own material rather than in what the model happens to remember.
Once it is published you get three ways to put it in front of customers: a hosted link you can share anywhere, a QR code for print and counters, and a one-line embed snippet that drops the chat widget onto your existing website. The same knowledge base can also read and reply to your email inbox, so a customer who writes at 11pm gets a sourced answer before you wake up.
- Upload your documents, or paste your website URL. That is the training done.
- Brand it: your colours, your logo, your name, so it looks like part of your site.
- Share the link or paste one line into your site, then chat with it yourself to check it.
The questions that used to wait until morning
Most enquiries a small business receives are the same twenty questions asked in a hundred different ways: opening hours, pricing, what is included, whether you service an area, what to bring, how to book, what the cancellation policy is. An AI customer assistant answers all of these from your documents, in your tone, in the customer’s own words, and it never gets tired of the same question.
When a question needs a person, the assistant does not guess. It captures the customer’s name and contact details into your leads inbox, can book straight into your connected calendar, and you get a daily digest of everything it handled. The example below is illustrative; your assistant answers from your own material.
Bring your own key: what it means for your data
BYOK stands for bring your own key. Instead of paying us a margin on every AI call, you paste your own Google Gemini API key into your account. Google bills you directly for AI usage, at cents per chat, and our plans stay flat and cheap. The key lives in your account and you can revoke it at Google at any time.
The key you bring also decides what Google may do with your content. On a paid Gemini key, Google does not use your prompts or files to improve its models. On Google’s free tier, Google does use submitted content to improve its products and human reviewers may see it, so use a paid key for anything confidential. We never use your documents to train anything, on any plan, and that is in writing.
For businesses that need data to stay in Australia, the Private tier runs on Vertex AI in Google Cloud’s Australian region with a zero-retention request path. The Security Overview, Privacy Policy and Sub-processor list linked below describe exactly what is stored, where, and who can access it.
Flat monthly plans, AI usage billed by Google
Because you bring your own key, the plan price covers the software and the AI usage is a separate, usually tiny, Google bill. Plans start at $9 a month with a 3-day trial on Starter, go up to Business at $49 a month, and Enterprise from $499 a month for teams that need more seats and support. Annual billing gets one month free. You can cancel any time from the self-serve billing portal.
Example conversation
- Customer: Hi, do you allow pets in the two-bedroom units at Harbour Street?
- Assistant: Yes. Harbour Street accepts one cat or one dog under 20kg with a pet application. Source: Tenant handbook, section 4, Pets.
- Customer: Great. Can I inspect this Saturday?
- Assistant: There are inspection slots at 10:00 and 11:30 on Saturday. If you give me your name and mobile number I will book one and the property manager will confirm by text.

FAQ
What is the difference between an AI customer assistant and a chatbot?
A traditional chatbot follows a decision tree you build by hand and can only answer what you scripted. An AI customer assistant reads your documents and answers questions asked in ordinary language, showing the source it used. It also works by email, not just in a chat window, and captures leads when a question needs a person.
Does it work with email as well as website chat?
Yes. Chat on your website and replies to your email inbox are both live today and share the same knowledge base, so a customer gets the same sourced answer whichever way they ask. Voice is coming soon.
Does it answer only from my documents?
Yes. It answers only from the files you approve and shows the source. When the answer is not in your documents it collects the customer’s details so you can follow up, instead of guessing.
How long does setup actually take?
About two minutes. Upload PDFs or paste your website URL, pick your branding, and publish. You get a hosted link, a QR code and a one-line embed snippet. No code required.
Do I need my own AI key?
Yes. This is what BYOK means on our site: bring your own key. You paste your own Google Gemini API key into your account, so AI usage is billed by Google directly to you at cents per chat, which is why our plans stay flat and cheap. Your key stays in your account and you can revoke it at Google any time. Google has a free tier, but read the next answer before you point a free key at confidential documents.
Will my documents be used to train AI models?
We never use them to train anything, on every plan, in writing. What Google does depends on the key you bring. On a paid Gemini key, Google does not use your prompts or files to improve its models. On Google's free tier, Google does use submitted content to improve its products and human reviewers may see it, so use a paid key for anything confidential. The Private tier keeps data only in Australia on Vertex AI (Google Cloud) with a zero-retention request path.
Can it really answer phone calls?
Voice is coming soon. When it ships, your AI voice agent will pick up 24/7, speak from the same knowledge base as your chatbot, and capture caller details and book appointments mid-call. Chat and email are live today.
What happens to the leads it captures?
Every channel files contact details into your leads inbox, books straight into your connected calendar, and you get a daily lead digest by email.
Can I cancel any time?
Yes. Plans are monthly from $9/mo with a 3-day trial on Starter, and you can cancel any time from the self-serve billing portal.
